Data safety for recruitment, staffing and client workflows.

This page explains how Verovian protects candidate, client, employer, recruiter and document data across our public websites, intake forms, dashboards and recruitment platforms.

What data we handle

Verovian may process profile details, CVs, resumes, compliance documents, licences, availability, pay expectations, job applications, client vacancy details, interview notes, communication records and operational audit information.

We only request information that supports recruitment, staffing, compliance, client service, candidate matching, interview coordination, onboarding or legitimate business development.

How data is used

Data is used to match candidates to suitable opportunities, manage client vacancies, process applications, communicate with candidates and clients, maintain compliance records, support recruiter workflows and improve service quality.

Automated parsing or matching tools may assist recruiters, but Verovian expects recruiter review before sensitive records are relied on for client decisions.

Access control

Internal dashboards and administrative tools use authenticated access. Permissions are assigned according to role, market, division and operational need. Sensitive features may require elevated permissions or multi-factor authentication.

External parties receive only the information needed for the relevant recruitment activity. Candidate identity and full CV disclosure are managed according to consent and workflow requirements.

Storage and transfer

Recruitment records and uploaded documents are stored in controlled cloud systems. Verovian uses access controls, transport encryption where supported, environment-based secrets and operational monitoring to reduce unauthorised access risk.

Secrets, API keys and service credentials must not be published in website code or public repositories.

Retention

Recruitment records are retained only for as long as needed for candidate representation, client service, compliance, audit, dispute resolution or legal obligations. Records may be deleted, archived or anonymised when they are no longer required.

Third-party services

Verovian may use carefully selected service providers for hosting, storage, authentication, email delivery, analytics, document processing and operational tooling. These providers are used to deliver the service and are not permitted to sell Verovian data.

Candidate and client rights

Candidates and clients may contact Verovian to request access, correction, restriction, deletion or clarification of data held about them, subject to identity verification and applicable legal or contractual obligations.

Security reporting

If you believe you have found a security issue affecting a Verovian website, platform, API, document store or recruitment workflow, please email [email protected] with enough detail for our team to investigate. Please do not include unnecessary personal data in the report.
